What does the PDF to Excel tool do?
The tool reads the text layer inside your PDF and where each word sits on the page, infers the column boundaries from the vertical whitespace that separates them, and writes the result as an xlsx workbook that opens in Excel, Numbers and Google Sheets. The difference that matters in practice is that a cell which is entirely a number arrives as a real number SUM can add and a sort can order, not as text that looks like a number and refuses to be counted.
All of it happens inside your browser. The file is not uploaded to any server and never passes through Khallas, which is a practical requirement rather than a slogan when the document is a bank statement, an invoice carrying a VAT number or a payroll run. Close the tab and nothing is left behind, because the file never left your device in the first place, and there is no account to make and no software to install.
When do you need to convert a PDF to Excel?
The most common case in Saudi Arabia and the Gulf is the bank statement: you download it from the bank app as a PDF, and an accountant, a financing application or a zakat review wants it as a table whose columns can be summed and whose rows can be sorted. Then there are ZATCA invoices when you are reconciling a month line by line, payroll runs and wage protection files, and supplier price lists that arrive as a PDF when what you want is a comparison sheet.
There are also the government platform reports that export nothing but PDF: a Qiwa, Muqeem or Etimad report you want to filter or total, university transcripts, and bills of quantities in construction. The rule of thumb is the same in every case. If the table is sitting there on the page and you cannot select a column and drag it, this tool is the shortest route to a copy that calculates instead of one you retype by hand.
How does it know where one column ends and the next begins?
It does not look for ruled lines, because most Arabic statements and invoices are not drawn with any. Instead it projects every word on the page onto a horizontal axis and counts how many lines cover each position, then treats a stretch that almost no line covers as a boundary between two columns. A gap only counts as a boundary if it is wider than an ordinary word space in the page's own font, so a table set in small type is judged by the same standard as one set in large type.
There is also a deliberate tolerance. A heading that runs the full width of the page crosses every gap, and taken at face value it would destroy the columns of every invoice with a letterhead, so a small share of lines is allowed to cross a gap without cancelling it. And when a word touches a column boundary it belongs to the column it started in rather than the one it ended in, which keeps a long heading in its own cell instead of jumping into the neighbouring one.
How to convert a PDF to Excel, step by step
Open the PDF to Excel page and drop your file into the tray, or tap the tray to pick it from your device or from the Files app on a phone.
Choose the sheet layout: one sheet holding every page, which is what a statement running over several pages with the same header needs, or a sheet per page when the pages carry different tables.
Type a page range if you only want part of the file, such as 1-3,5, and leave it empty to convert the whole document.
Press convert to Excel and wait a few seconds; the progress bar moves while the pages are read one by one, and the workbook is written at the end.
Download the xlsx and open it in Excel or Google Sheets. An Arabic sheet opens right to left, with the first column on the right exactly where the page had it.
Check one column before you build on it: sum the amounts column and compare the total against the one printed in the original file. If they match, the rest of the columns are very likely sound.
Limits to know about
- The tool reads the text layer, so a scanned file will not work and comes back with a clear message rather than an empty workbook that looks like a bug. Run it through the OCR tool first, and the link in that message carries your file across so you do not pick it again.
- Columns are inferred from whitespace rather than from ruled lines, so nested tables, merged cells and columns that touch with no gap can come out joined. Check the result before you rely on it.
- Borders, colours, images, merged cells and formulas do not travel. The output is text and numbers in a grid, not a copy of how the page looked.
- A cell carrying a currency symbol, a unit or any letter deliberately stays text and will not sum, because a wrong number in a statement is worse than a string you can see was not counted.
- The tool converts one file at a time, so it is not a run over a stack of files. Convert them one after another, or merge them first with the merge PDF tool if they are parts of the same statement.
- A password-protected file will not open for reading. Unlock it first with the unlock PDF tool and the current password.
- A page with no table on it lands as lines in a single column, and that is a correct result rather than a failure: there was nothing on the page to split into columns.
Common problems and fixes
The workbook came out empty
Your PDF is a scan: images with no text layer, so there are no words to read columns out of. Open the OCR tool from the link in the error message, which brings your file with you, or download the statement from your bank app again as a text PDF if that option exists.
Everything landed in one column
The page is running prose with no vertical gaps, or its columns are separated by less than a word space in the page's own font. Try a sheet per page, and convert just the table page with a page range instead of the whole file.
The columns are joined or shifted
That happens when table columns touch, or when a long heading spans more than one of them. Convert with a sheet per page to see exactly where it starts, then repair only the affected column in Excel with Text to Columns.
The amounts came out as text and will not sum
The cell carries a currency symbol, a unit or a letter, so it deliberately stayed text. Strip the symbol from the column in Excel with find and replace, then set the column format to number, and the cells will sum.
The sheet opened left to right with the first column in the wrong place
Direction is decided by whether the sheet's text is mostly Arabic, so a mostly English sheet opens left to right. Switch the sheet direction from the Page Layout tab in Excel, or convert only the Arabic table pages with a page range.
Arabic-Indic digits did not arrive as numbers
Arabic-Indic digits are folded automatically, along with the Arabic decimal separator and the accounting parentheses that mean a minus. If a cell still stayed text, it almost certainly carries a letter or a currency symbol as well. Inspect it in the formula bar, because what you see on screen can hide a space.
The file asks for a password and will not open
Open the unlock PDF tool, enter the current password, and convert the unlocked file. The tool does not break protection you do not have the password for.
